Funded through a youth employment program, these 8-week summer positions offer post-secondary students meaningful, hands-on experience in nonprofit administration and operations.
To be eligible, all applicants must meet the following criteria at the start of the position:
- Are between 15 and 30 years of age at the start of the funded position
- Are a Canadian Citizen or Permanent Resident
- Have been granted or conferred Refugee Status in Canada
- Hold a valid Social Insurance Number (SIN)
This position is not for:
- International students
- Individuals on a youth or visitor visa/permit
- Individuals on a work visa or permit
Administrative Support
Position Type: Full Time/Temporary – 8 Weeks | June 8 – July 31, 2026
Location: Hybrid – 3 days in person at Carleton University (Ottawa, ON) and 2 days remote
Reports to: Program Manager – Business Services
Compensation: $19/hr
Working under the guidance of the Program Manager – Business Services, the student will provide day-to-day administrative support across key operational areas including office administration, operations coordination, internal communications, and grant and fundraising support. This role is designed to build practical workplace skills in a mission-driven environment committed to advancing Black inclusion and equity in Canadian higher education. The ideal candidate is organized, eager to learn, and motivated to contribute to an inclusive and impactful organization.
Key Responsibilities
Office Administration
• Draft, format, and organize internal documents including correspondence, memos, meeting agendas, and program materials.
• Manage and maintain shared digital filing systems, organizational drives, and document libraries.
• Support scheduling, calendar coordination, and logistics for team meetings and organizational events.
Operations Management Support
• Assist with tracking and updating organizational databases, contact lists, and program records.
• Support coordination of program activities, including preparing materials, tracking action items, and following up on deliverables.
• Help maintain accurate and up-to-date operational records, reports, and project documentation.
Grant & Fundraising Support
• Assist the Program Manager with research on grant opportunities, funding deadlines, and funder requirements.
• Support the preparation and formatting of grant applications, funding proposals, and related supporting documents.
• Help maintain a grant tracking log to monitor application status, reporting timelines, and funder correspondence.
Qualifications
• Currently enrolled in a post-secondary program in business administration, public administration, communications, office administration, or a related field.
• Strong organizational skills and attention to detail.
• Excellent written and verbal communication skills.
• Ability to manage confidential information with professionalism.
• Proficiency with Microsoft Office.
Assets (Nice-to-Have):
• Familiarity with Microsoft 365.
• Experience working in non-profit, and community engagement.
• Knowledge of or interest in the nonprofit sector and equity-focused organizations.

This is a supervised student placement. The student will work standard business hours (approximately 35 hours per week) and will receive regular check-ins and mentorship from the Program Manager – Business Services throughout the program. May require occasional evening or weekend hours for outreach or community events.
Communications and Engagement Support

The Communications and Engagement Support role offers an opportunity to gain practical, hands-on experience in community-focused communications and outreach. Working closely with the Program Manager – Communications and Engagement, this student role will assist in supporting initiatives that strengthen community awareness, stakeholder relationships, and program visibility.
This role will provide practical learning in areas such as storytelling, digital communications, outreach and engagement coordination that seek to deepen and establish connections with community members, partners, volunteers, and supporters.
The ideal candidate is an organized and motivated communicator with strong writing and communication skills, eager to learn, contribute ideas, and is passionate about community-focused impact.
Key Responsibilities
Communications
- Draft, edit, and proofread content for social media, newsletters, website updates, and outreach materials.
- Develop engaging content that highlights community voices, program outcomes, and organizational initiatives.
- Maintain monthly communications and social media calendars.
- Support the creation of posters, flyers, and digital assets (using tools such as Canva or Adobe Creative Suite).
- Assist with email campaigns, mailing lists, and surveys (Mailchimp, SurveyMonkey, etc.).
Community Engagement & Outreach
- Support outreach to participants, partners, volunteers, and community stakeholders.
- Help coordinate engagement events, workshops, town halls, or community dialogues.
- Support volunteer recruitment communication, training reminders, and community onboarding efforts.
- Track engagement data (attendance, sign-ups, feedback forms) to inform program improvements.
- Attend and assist the organization at events, tabling opportunities, and community meetings when required.
Relationship & Stakeholder Support
- Draft partner communications including follow-ups, thank-you messages, and resource sharing.
- Maintain updated contact databases for partners, funders, volunteers, and participants.
- Assist with the preparation of engagement briefs, reports, and success stories for internal and external audiences.
Qualifications
- Strong written and verbal communication skills.
- Experience with social media platforms (Instagram, Facebook, LinkedIn, etc.).
- Ability to work collaboratively and respectfully with diverse communities.
- Strong organizational skills and attention to detail.
- Basic proficiency with design tools (e.g., Canva).
Assets (Nice-to-Have):
- Knowledge of community-based or nonprofit environments.
- Experience supporting events or public engagement activities.
- Ability to speak multiple languages (especially those represented in the community).
- Familiarity with CRM tools or mailing platforms (Mailchimp).
